How It Works

Six steps.
Four gates.

Discovery
A three-hour, in-person kickoff with your team, plus interviews with staff and the families, providers, and partners who actually use the site. We review your analytics, run a SWOT, and deliver a strategy brief with the sitemap, information architecture, and feature list — approved by your team before anything moves forward.

Content
Working from the strategy brief, we run style and copy tests so we agree on tone before we write. Then we produce a messaging strategy and voice guide, and write new copy for the homepage and ten priority pages — with a clear standard your staff can follow for every remaining page.

Design
Design happens in Figma so you can watch and comment in real time. Wireframes first, then the homepage and ten priority pages at full fidelity, then a component library covering every remaining page — built so color, type, and logo can be updated in one place once your affiliation audit concludes.

Development
We build on WordPress with Elementor Pro — polished custom code out front, drag-and-drop editing for your staff in back. Every required feature: Family Resources, the Early Learning Collaborative map, donor portal, events, provider resources, blog, embedded video, and interactive maps, plus content migration and integrations.

Launch
An accessibility audit to WCAG 2.1 AA using automated tools, manual review, and assistive technology; a security audit and server hardening; and a redirect map so existing links and search rankings carry over. Then we push live — with three recorded training sessions and a documentation handoff.

Support
SiteGround hosting with server-level firewalls, malware scanning, SSL, automatic core updates, and daily backups. After launch we implement Google Analytics and heatmap tracking so you can see which pages people visit, what they click, and where they leave.

How the gates work

Each phase is locked by a gate until we finalize the previous one, and every gate ends with a sign-off meeting where your team approves the work before we move on. We've built buffer time into each gate — including around Nicole's return from leave — but to guarantee the December 31 deadline, we'll want to get started as soon as possible.

The Investment

Transparent,
all-inclusive

This proposal is a fixed-fee, not-to-exceed investment of $49,915 for the complete scope of services outlined in the RFP — all contingency allocations included. Because Idaho AEYC is a nonprofit, we have applied our 15% nonprofit discount to every rate in this proposal. At our standard rates, this scope would cost around $60,000.

Every dollar is tied to a defined project gate and milestone. Our goal is to give Idaho AEYC cost certainty while keeping the flexibility to deliver a solution grounded in research on the families, policymakers, donors, partners, and providers you serve.

Ongoing support after launch: our Monthly Support Plan is $400/month for 4 hours of edits, content updates, or troubleshooting — hosting included. Hosting only is $105/month, and work beyond the support plan is billed at $170/hour.

Branding add-on: our discovery phase produces the same inputs a rebrand needs, so branding can begin as soon as discovery is complete and inform the website design rather than interrupt it. Branding is handled by a separate group of designers at Mox, so adding it will not affect the website timeline. Projects range from a few thousand dollars to $40,000 depending on scope — the more we learn about the outcome of your affiliation audit, the more precisely we can price it.
